2. Purposes of processing

• Running the DSF Challenge application procedure,
• evaluating the submissions you hand in,
• contacting applicants we shortlist,
• preventing abuse of the platform (rate limiting, security logging).

3. Legal bases

Processing for the application challenge — your account, your API usage in the challenge and your submissions — is based on Art. 6(1)(b) GDPR in conjunction with § 26 BDSG (pre-contractual application procedure). Processing for abuse prevention and rate limiting is based on Art. 6(1)(f) GDPR (legitimate interest in a secure service).

4. Categories of data

• Account data: e-mail address, display name, and the timestamp of your registration confirmation.
• Credentials: your access code and API key are stored exclusively as cryptographic hashes. The plaintext code and key are shown to you exactly once and are never stored on our side — we could not reproduce them if we wanted to.
• Submissions: the spec text, the agent output, the deviations you state you found, and — if you choose to provide them — your LinkedIn profile URL and the name of the tool you used.
• API usage telemetry: which endpoints your API key called, with which (allowlisted) parameters, when, and with what status code — without IP addresses. IP addresses are used only in short-lived in-memory rate-limit counters and are not written to the usage log.

5. Recipients and transfers

There are no third-party recipients. We use no external processors beyond the hosting of this server, and there are no transfers outside the EU. The site loads no web fonts and no resources from CDNs or any other third party — fonts render from your device's local font stack, and every asset is served from this domain.

6. Server logs

The web server in front of this site writes technical access logs containing the IP address, timestamp, requested URL, status code and browser user agent of every request. We use them solely to protect the service against abuse and to diagnose operational problems (Art. 6(1)(f) GDPR — legitimate interest in a secure, reliable service). These logs are rotated daily, deleted after 14 days at the latest, and are never combined with your account, your API usage or your submissions.

7. Cookies

The site sets exactly one strictly necessary session cookie after login (qe_session) and one for the administration area (qe_admin). Both are technically required to keep you signed in and fall under the strictly-necessary exemption of § 25(2) Nr. 2 TDDDG — which is why this site needs no consent banner. There are no tracking or analytics cookies of any kind.

8. Retention

Account data, submissions and usage telemetry are deleted at the latest 6 months after the hiring process ends (aligned with the claim periods of the German General Equal Treatment Act, AGG). You can request earlier deletion at any time — or do it yourself, see section 11.

9. Your rights

You have the rights under Art. 15–21 GDPR: access, rectification, erasure, restriction of processing, data portability, and objection. 10. No automated decision-making

There is no automated decision-making within the meaning of Art. 22 GDPR. The automatic scores computed for submissions are advisory only; every decision in this hiring process is made by a human. No automated rejection exists in this system.

11. Exercising your rights

To exercise any of these rights, contact the controller (info@quadra-energy.com) or the Data Protection Officer (datenschutz@quadra-energy.com). We will export or delete your data from this platform on request. You can also delete your account yourself at any time: log in with your access code, open the Submit page and use “Delete my account and data” — this immediately and permanently removes your account, your submissions and your API usage records.

Rechtsgrundlagen: Art. 6 Abs. 1 lit. b DSGVO in Verbindung mit § 26 BDSG (vorvertragliches Bewerbungsverfahren) für Konto, API-Nutzung und Einreichungen; Art. 6 Abs. 1 lit. f DSGVO (berechtigtes Interesse) für Missbrauchsprävention und Rate Limiting.

Datenkategorien: E-Mail-Adresse, Anzeigename, Zeitpunkt der Bestätigung bei der Registrierung; Zugangscode und API-Key ausschließlich als kryptographische Hashes (die Klartexte werden einmalig angezeigt und nie gespeichert); Einreichungen (Spec-Text, Agent-Output, angegebene Abweichungen sowie — freiwillig — LinkedIn-Profil-URL und verwendetes Tool); technische Nutzungsdaten der API ohne IP-Adressen (IP-Adressen werden nur flüchtig im Arbeitsspeicher für das Rate Limiting verwendet).

Empfänger und Drittlandtransfer: Es gibt keine Datenweitergabe an Dritte und keine Übermittlung in Länder außerhalb der EU. Die Seite lädt keine Webfonts und keine Ressourcen von CDNs oder anderen Drittanbietern; Schriften werden aus dem lokalen Schriftbestand Ihres Geräts dargestellt.

Server-Logs: Der vorgeschaltete Webserver protokolliert bei jedem Zugriff IP-Adresse, Zeitstempel, aufgerufene URL, Statuscode und Browser-Kennung (User Agent). Diese Logs dienen ausschließlich der Missbrauchsabwehr und dem stabilen Betrieb (Art. 6 Abs. 1 lit. f DSGVO), werden täglich rotiert, spätestens nach 14 Tagen gelöscht und nicht mit Ihrem Konto, Ihrer API-Nutzung oder Ihren Einreichungen zusammengeführt.

Cookies: Genau ein technisch notwendiges Sitzungs-Cookie nach dem Login (qe_session) sowie eines für den Administrationsbereich (qe_admin) — unbedingt erforderlich im Sinne von § 25 Abs. 2 Nr. 2 TDDDG, daher ist kein Cookie-Banner erforderlich. Keine Tracking- oder Analyse-Cookies.

Speicherdauer: Löschung spätestens 6 Monate nach Abschluss des Bewerbungsverfahrens (orientiert an den Fristen des AGG). Eine frühere Löschung ist jederzeit auf Anfrage möglich — oder in Selbstbedienung: Nach dem Login finden Sie auf der Submit-Seite die Funktion „Delete my account and data“, die Konto, Einreichungen und API-Nutzungsdaten sofort und dauerhaft löscht.
